Escrow Officer

  • Description

    Responsible for establishing new escrow accounts and processing escrow documents in accordance with established policies and procedures. Acts as a neutral third-party between buyers and sellers during a real estate sale, managing funds and processing real estate transactions.

  • Essential Functions

    • Completes real estate escrow transactions by determining requirements; clearing titles; assembling, preparing, and reviewing closing documents; disbursing funds
    • Determines escrow requirements by studying and clarifying buyer, seller, and lender instructions
    • Obtains clear title by ordering title reports; resolving title defects; satisfying existing liens and encumbrances against property or principals
    • Establishes escrow account by depositing funds; maintaining records
    • Prepares transaction documents by completing forms and statements; collecting and reviewing existing documents
    • Completes calculations by prorating taxes and interest
    • Completes closing transaction documents by assembling documents; reviewing papers with parties; explaining provisions and procedures; answering questions; checking documents for completeness and accuracy; obtaining signatures
    • Completes closing by recording and filing documents; preparing and distributing final closing statements and title
    • Prepares Settlement Statement (HUD) by utilizing lender instructions
    • Closes escrow account by balancing and disbursing funds
    • Complies with regulatory requirements by adhering, and enforcing adherence, to requirements.

Escrow Assistant

  • Description

    Provides support to Escrow department by assisting with customer service and administrative duties related to escrow closings.

  • Essential Functions

    • Opens orders, inputs closing statements from a worksheet prepared by Escrow Officer
    • Prepares documents for closing and handles the complete disbursement and follow up of all escrow transactions
    • Communicates requirements and other information to clients including Title exceptions

Title Officer

  • Description

    As a Title Officer, you will search public records and examine titles to determine legal condition of primarily residential property title. You will copy or summarize recorded documents which affect the condition of title to the property. Must be able to work independently and use experience to examine title to real property, ranging in complexity, to determine status and establish chain of title.

  • Essential Functions

    • Performs title examination and examines the chain of title for a wide range of title orders, primarily residential
    • Abstracts and analyzes records, such as mortgages, liens, judgments, easements, vital statistics, and plat and map books, to determine ownership and legal restrictions and to verify legal description of property and completeness of records
    • Resolves most issues such as missing information, incomplete, inaccurate or contradictory information contained in the title documentation
    • Prepares initial title commitment documentation based on the application of procedural guidelines
    • Prepares and reviews reports for accuracy

Recorder

  • Essential Functions

    • Date down of all files
    • Making sure all requirements have been complied with
    • Examination of all documents for signatures and acknowledgements and legal descriptions
    • Close communication with Escrow and Title department
    • Check fees for policy and endorsement to make sure they are correct
    • Digitally record all of the document
    • Complete monthly report of all recordings, to be done daily except at the end of the month
    • Also will digitally record TSG documents
    • Time allowing will learn and interact with all phases of the Department

Accounting

  • Essential Functions

    • Prepares wires for transfer
    • Disburses files and issues checks
    • Issue closing documents and letters to appropriate parties
    • Billing
    • Provide internal and external customer service
    • Numeric and alphanumeric data entry into First American proprietary software
    • Answer a moderate volume of phone calls
    • Deposit incoming funds from lender
    • Ensure file is properly balance and reconcile any differences with Escrow Officer
    • Reconcile incoming and outgoing wires
    • Cut net proceed checks to borrowers, lien holders and creditors as required
    • Prepare daily deposit slips

    • Intermediate level working knowledge of Microsoft Office applications and escrow related software. Ability to type a minimum of 40 WPM required

Account Executive

  • Description

    Develops and retains a quality residential client base of Real Estate Agents and Brokers, Lenders, Builders, Agents, Attorneys and others through the acquisition of new business and maintenance of existing customers. Sales Representatives interface with division management, branch manager and escrow staff in carrying out the functions of the position. Sales representatives have an ongoing responsibility for maintaining the customer relationship and servicing the customer’s needs throughout the entire sales order, shipping, billing, customer payment, and follow-up for future business process

  • Essential Functions

    • Builds client relationships, secures new orders from new customers, and maintains and expands business with existing client base
    • Communities proactively with and responds in a timely manner to clients
    • Compiles lists of prospective customers for use as sales leads, based on information from newspapers, business directories, industry ads, trade shows, Internet Web sites, and other sources
    • Develops and executes a call plan for the area assigned to include calls on and appointments with qualified real estate agents, brokers and their staff, lenders and attorneys

Receptionist

  • Description

    Escrow Receptionists provide support to Escrow department by assisting with customer service and administrative duties related to escrow closings.

  • Other Duties Include

    • Performs secretarial and clerical duties to assist in the gathering of information and handling of funds for escrow closings
    • Answers phones, greets customers, places calls and writes for various information needed for escrow closings
    • Process opening orders, initial file set up, deposit and distribution of funds, written transmittals for funds and documents, handling reconveyances, pre-closing maintenance and post-closing follow up on assigned files

Policy Typist

  • Description

    As a Policy Typist, you will gather information from which to type preliminary and final guarantee (litigation, forfeiture, trustee’s sale) policies, title commitments, standard owners / lenders’ , extended, Eagle owners, and express policy reports for the Title Department.

  • Essential Functions

    • Prepare and generate limited or letter reports
    • Answer telephones when the receptionist is unavailable
    • Process incoming / outgoing mail, meter envelopes
    • Copy reports for distribution as needed
    • Prepare ship and monitor all out of county recordings
